On a roof, under a sink or with a customer in the chair, you don't answer. The caller rarely tries twice. Here are five ways to ensure a missed call doesn't become a missed customer, from free to automated.
Why missed calls are so expensive
Someone calling often has a concrete problem: a leak, a broken key, an appointment that must happen today. They'll call the next on the list if you don't answer. You usually don't know who it was, because a missed call only leaves a number. How much this costs you varies per business. So count the number of missed calls on your own phone for a week and look at the search query or request it relates to.
Five ways, from simple to smart
| Method | What it does | Limitation |
|---|---|---|
| 1. Voicemail | Caller can leave a message | Many people don't leave a message; you have to listen yourself |
| 2. Forward to a colleague or mobile | Someone else answers | Only whilst someone is available |
| 3. Automatic SMS or WhatsApp message after a missed call | Caller knows you will call back | Separate from the rest of the customer data |
| 4. Telephone service or call centre | A person answers | Fixed costs, no knowledge of your business |
| 5. AI receptionist | Answers, responds to questions from your knowledge, notes name and number, transfers in urgent cases | Only knows what you enter; complex cases go to you |
How an AI receptionist works at Slimbot
- Per line you choose whether the AI answers or your team, for example only outside office hours.
- Answers come from your own knowledge: opening hours, services and prices that you fill in yourself. If it doesn't know, it says so honestly and takes a message.
- Call-back requests contain name, number and a brief summary.
- Transfer to office or mobile in urgent cases; you can set multiple forwarding numbers in sequence.
- Listen back: for each call, the transcript, summary and recording are in Slimbot.
More details and frequently asked questions are on AI receptionist and in the explanation in the knowledge base. The AI phone line is included in the Business plan (on request).
Step-by-step plan: handling missed calls
- Count the missed calls on your phone for a week.
- Set up a voicemail with a short, friendly message and your WhatsApp number.
- Call back missed numbers the same day, preferably within an hour.
- Decide when a person answers and when not (for example after 17:00 and during jobs).
- Otherwise, let an assistant answer and note the question.
- Review the summaries every week: which questions come up often? Put those in your knowledge or on your website.

Frequently asked questions
Can an AI receptionist also answer outside office hours?
Yes. For each line you set whether the AI or your team answers, including evenings and weekends.
Does the AI make up answers?
It answers from the knowledge you provide. If it doesn't know something, it says so and records a call-back request.
Can I keep my existing number?
Yes. With your current provider, you forward to your Slimbot number, or you have your number transferred (on request).
What if the caller prefers to speak to a person?
Then it offers to connect or note a call-back request.
